Connect your ERP to WhatsApp Business: orders and approvals

How to connect Odoo, Zoho or another ERP to WhatsApp Business for order updates, approvals and customer service, without copying and pasting all day.

Devvion · Published

"Half my sales team's day is WhatsApp. A customer asks where the order is, someone opens Odoo, takes a screenshot, sends it back. A manager approves a discount with a thumbs-up, and three weeks later nobody can find it."

Across the Gulf, the Levant and North Africa, WhatsApp is where business actually happens. Customers order on it, drivers confirm on it, managers approve on it. The ERP holds the truth, but the conversation happens somewhere else, on personal phones, and the two never meet. The result is a busy team, slow answers, and decisions with no record.

Why the usual fixes don't stick

Most companies try one of three things.

  • A shared WhatsApp Business app on one phone. It helps with labels and quick replies, but it's still a person reading and typing, and it can't talk to the ERP.
  • A chatbot from a marketing tool. Good at greetings and menus. It doesn't know the order status, so customers get passed to a person anyway.
  • "Use the portal." Customers don't. They message the salesperson they know.

The fix is not another inbox. It is letting the ERP speak on WhatsApp when something changes, and letting WhatsApp write back into the ERP when someone decides.

What it costs today

Count the messages that exist only to move information the ERP already has: order confirmations, "has it shipped", delivery times, invoice copies, statement requests, approval pings. Each one is a minute or two. Multiply by the day.

Example

The fixed flow

Order to cash from WhatsAppOrder to invoice: 2 days → 12 min · Example

Order to cash from WhatsApp

  1. WhatsApp order
  2. Read the order
  3. Check stock
  4. In stock?
  5. Create sales order
  6. Issue e-invoice
  7. Tax authority accepted?
  8. Invoice and pay link
  9. Reconcile payment
  10. Booked and shipped
  11. Order to invoice: 2 days → 12 min (Example)

There are three uses, and they share the same connection.

1. Order updates the ERP sends on its own. When an order is confirmed, picked, shipped or invoiced, the ERP triggers a WhatsApp message to the customer. These are pre-approved templates on the WhatsApp Business Platform, filled with live data: order number, items, expected delivery, a link to the invoice. Nobody types them.

2. Approvals that leave a record. A discount above the limit, a credit hold, a purchase over budget: the ERP sends the approver a WhatsApp message with the facts and two buttons. The answer goes straight back into the ERP with a name and a timestamp. No thumbs-up lost in a group chat.

3. Customer service with AI on the questions it can answer. When a customer writes "where is order 4471", an AI agent reads the ERP and answers. When the question needs judgment, such as a complaint, a price negotiation or a return, it hands over to a named person with the conversation and the order attached. Arabic and English work in the same thread.

Rules come first here too. Most messages don't need AI. They need the right template at the right moment. AI handles free-text questions, and every AI reply can be reviewed and overridden.

A few platform facts to know

You'll connect through the WhatsApp Business Platform (the API), not the phone app, usually via Meta's Cloud API directly or a business solution provider. Two points shape the design:

  • Messages that your business starts, like order updates, use templates that Meta approves in advance.
  • Meta charges per delivered template message, with free replies inside the 24-hour customer service window that opens when a customer writes to you. See Meta's pricing page for current rates by country and category.

Meta also sets rules on how AI may be used on the platform. An agent that answers questions about your own orders and services is the intended use; check the current policy before you design anything broader.

What to do this week, without us

  • Count one week of WhatsApp traffic for two or three people in sales and customer service. Tag each message: status, document request, approval, real conversation.
  • List the five ERP events customers ask about most. Usually order confirmed, shipped, delivered, invoiced and payment received.
  • Write the templates. One short message per event, in Arabic and English, with the fields you'd fill from the ERP.
  • Choose one business number. Customers should message the company, not a salesperson's personal phone. Plan how you'll tell them.
  • List your approvals that happen on WhatsApp today, with their limits and approvers.
  • Ask your ERP partner whether your version has a WhatsApp connector or an API you can call on status changes. Odoo, Zoho and most modern ERPs offer one or the other.

When to call us

Call us when messaging volume is high enough that a sales or service team is mostly forwarding information, when approvals need a record for audit, or when you want an AI agent answering customers but only from real ERP data and with a person able to step in.

We do this as forward-deployed engineering: our engineer works inside your business, not from a ticket queue. The two-week assessment starts with reading real conversations with your team, because the useful patterns are in the messages, not in the process chart. Then we map the flows and automate them: connect your ERP to the WhatsApp Business Platform, set up the templates and approvals, and add the AI agent where it earns its place. After go-live we optimise on real traffic. The people you meet stay on your work from the first day to the last. See related use cases.

FAQ

Can Odoo or Zoho send WhatsApp messages automatically?

Devvion connects both. Odoo and Zoho can call the WhatsApp Business Platform when a record changes, either through a built-in connector or their APIs, depending on your version. The work is in choosing the events, writing templates and handling replies, not in the connection itself.

Do we need the WhatsApp Business API, or is the app enough?

Devvion recommends the platform API once more than two or three people message customers. The app can't connect to your ERP, can't send automatic updates from it, and keeps conversations on one phone. The API puts every conversation on one business number your team shares.

Is an AI agent on WhatsApp safe for customer service?

Devvion builds AI agents that answer only from your ERP data and hand over to a named person for complaints, prices or returns. Every reply is logged, reviewable and can be overridden. Arabic and English work in the same conversation.

What does WhatsApp messaging cost?

Devvion doesn't resell WhatsApp. Meta charges per delivered template message, with rates by country and category, and replies inside the 24-hour customer service window are free. Check Meta's pricing page for current rates.

Can managers approve requests from WhatsApp?

Devvion sets up approvals as WhatsApp messages with the key facts and buttons. The decision is written back into the ERP with the approver's name and time, so you keep a record without asking managers to open the ERP.
